What we do — and do not — collect

Four things every owner should know. Written for owners, not engineers.

Every section below answers the question we hear most in the first call: what happens to a caller’s voice, transcript, and contact details once the AI picks up.

  1. 01

    Data handling

    Depending on the enabled provider path, Analese can receive call audio, transcribe it into text, and capture caller metadata (number, time, reason for the call). Inside the dashboard, your staff sees available transcripts when they sign in with their own better-auth credentials — the same login pattern that gates the rest of the workspace.

    The AI opens every conversation with a clear AI disclosure so the caller is not misled, and customer-facing SMS uses a shared keyword-only consent gate. Listed STOP-family opt-outs are honored immediately, while an arbitrary reply never grants consent. These are shipped product controls, not an independent compliance certification.     Encryption

    Every connector — phone carrier, external calendar, CRM adapter, email provider — talks to Analese over TLS, and the web chat widget proxies through the server over HTTPS. Storage and lifecycle depend on the enabled provider path: Analese applies platform-managed storage protections to data it holds, while provider media and transcripts may remain with the external provider. Owner settings do not prove where a recording is stored or how long it is retained.

    For healthcare verticals, PHI is masked or stripped the moment it lands in the call — the masked transcript takes the place of raw PHI in the searchable conversation log so a front-desk staffer can search without ever exposing protected health information.

    Third-party access

    Analese Calendar does not require a third-party grant. When you connect the calendar you already use, access stays limited to the credential scope you granted at signup. No human third party reads transcripts through your calendar — only the system, only the credential scope you granted at signup.

    The named CRM adapter set is HubSpot, Clio, Lawmatics, Follow Up Boss, KV Core, WiseAgent, Housecall, Jobber, Mindbody, EzyVet, Dentrix, WebPT, QuickBooks Online, and Vagaro. For each adapter, the data we share and the data we receive is a narrow, documented contract — not an open door.

  4. 04

    Retention

    Owners can configure a recording and retention intent in the dashboard, while the product reports provider observations separately. Conversation history, call transcripts, and booking records are downloadable from the dashboard when available; missing provider evidence remains unknown.

    A saved retention rule is not an independent certification or proof of provider behavior. Expiry and local deletion appear only when the product observes those events, and provider deletion is not reported without a real provider confirmation.

Per-vertical guardrails

Each vertical ships its own guardrails — masked PHI for healthcare, isolations and retention controls for law firms, state-aware AI disclosure for every channel. Customer-facing SMS uses the shared keyword-only consent gate and honors STOP-family opt-outs the moment they come in. These statements describe product behavior, not a regulatory certification.
